- Support and comply with the Mission Statement and Code of Conduct of the Clerk of Courts.
- Maintain a high standard relating to professional conduct and behavior.
- Work cooperatively with other employees of the work unit and embrace a teamwork approach to completing tasks.
Essential Tasks: - Conduct daily reviews of Official Record books, view all images, re-scan corrections as necessary, handle downloads, burn images and indexes as needed for archive purposes, and send images and indexes to FTP site for customers.
- Quality check redacted images and verify information redacted for accuracy.
- Correct and/or report errors that occur regarding images, indexes, and plats.
- Run daily and monthly reports for the office, management, and/or other departments.
- Inventory supplies, order supplies, and maintain supply cabinets.
- Document and notify management of any significant errors found in recording, scanning, and index/verify.
- Can work and communicate with all departments within the Clerk’s Office including the branches, staff, and management on the accuracy of the Official Records.
- Responsible for processing court orders for documents being expunged or sealed from public records.
- Handle requests for redaction of confidential information per Florida Statute.
- Notify Recording and Branches when documents can be released for outgoing mail.
- Monitor the processing of the outgoing mail.
- Capability of performing other assigned tasks as required.
- Being able to work in a constant state of alertness and safe manner.
- All other duties as assigned.
Minimum Skills / Qualifications: - Ability to work cooperatively as a lead team member with other employees in the work unit, other departments, and branches.
- Ability to communicate well with people from varied backgrounds and other governmental agencies.
- Ability to produce written correspondence and speak effectively to internal and external customers.
- Ability to research resource materials.
- Having the capability to learn and understand the intricacies of the production software, allowing assistance and correction of certain problems that occur within the database.
- Proficient use of Word, Excel with the ability to learn industry-based software.
- Ability to organize, prioritize and manage work to meet necessary time requirements and workload.
- Can accurately type 30 WPM.
- Can pay attention to detail and to remain calm in an anxious, intense, and multi-tasking environment.
- Remain flexible as conditions change and continue to perform effectively in the face of additional challenges.
- Graduate of an accredited high school or possess an acceptable equivalency diploma.
