Job Description: Reporting to the Head of Public and Research Services, the Special Collections Outreach and Events Coordinator is responsible for managing outreach activities and special events such as Audubon Day; coordinating messaging via marketing and social media channels to enhance the visibility and impact of Special Collections; and providing support for both the Public and Research Services Department and the Special Collections Teaching Team. This position plays a vital role in promoting the LSU Libraries Special Collections and its various units and collecting areas, including University Archives, Political Papers, Rare Books, the Louisiana and Lower Mississippi Valley Collections, the T. Harry Williams Center for Oral History, and the Louisiana Digital Library. Key responsibilities include generating and coordinating social media content, developing print and digital promotional materials, leading the Outreach and Engagement team, monitoring social media accounts and analytics, gathering user statistics, and working closely with Special Collections public services and teaching team members.
Responsibilities Include: 40% Special Collections Outreach: Plans and coordinates outreach activities related to Special Collections events, exhibitions, acquisitions, and staffing. Coordinates the ACproduction life cycle and distribution of promotional materials including event invitations, flyers, handouts, brochures, and other print or digital items for Special Collections. Plans and generates engaging social media content to showcase and promote Special Collections’ materials, staff, and services. Compiles social media analytics and assesses Special Collections social media channels for engagement, visibility, and reach. Adheres to relevant internal and University branding, style guides, social media policies, and guidance from the Office of Communications and University Relations. Works with the LSU Libraries Communications Director on content for the Libraries’ newsletter, blog posts, and other publications. Updates Libraries calendars with events. Utilizes internal listservs to disseminate information about Special Collections activities and initiatives. Monitors and makes recommendations for increased usability of Special Collections’ web pages, forms, guides, and other tools. Leads the Outreach and Engagement team by setting regular meetings, identifying outreach opportunities, and fostering partnerships across campus and in the community. 30% Events: Plans and executes external outreach initiatives and special events in Hill Memorial Library including scheduling and staffing, promotion and marketing, and post-event assessment. Examples of Special Collections events include Audubon Day, Afternoon in the Archives, and exhibition openings. Coordinates with individual units such as Oral History, Music Resources, and Research and Instruction Services to promote relevant departmental and Libraries-wide events. Works closely with the Special Collections Operations Coordinator and the Events Management team. 25% Public Services and Instructional Support: Works regularly scheduled back-up and Public Services shifts as needed. Gathers and compiles statistics, including reference and usage statistics and visitor/event feedback for routine reporting to Libraries administration. Assists in user-centered research conducted by the Head of Special Collections Research and Public Services. Develops user-centered informational tools such as tutorials, handouts, maps, and guides that aid in the Libraries mission to foster inclusivity and engagement for patrons. Works with the Curator of Books and Head of Instruction to support instructional efforts in Special Collections, including assisting with classes that visit Hill and the development of instructional materials. 5% Professional Development: Engages in ongoing professional development in relevant fields, such as graphic design, marketing, events management, and communications for libraries and archives. Stays current with trends in social media tools and strategies. May represent the department in research, presentations, speaking engagements, and involvement in professional associations.
Minimum Qualifications: Bachelor’s degree from an accredited college or university. One year experience Experience in a customer service environment; Experience working with computer programs and applications such as Microsoft Word and Excel; Knowledge of communications practices and familiarity with managing social media content on platforms such as Instagram and Facebook. Familiarity with content creation tools such as Canva or Adobe Express.
Preferred Qualifications: Master's of Fine Arts One year of experience working in an institution of higher education; proficiency using graphic design software such as Adobe Photoshop, Illustrator, or InDesign; knowledge of French and/or Spanish and Louisiana history; experience managing events and outreach activities or working with others to coordinate public programming; classroom or instructional experience.
