Project Coordinator – Construction

About the Role:

As a key support role within the project team, the Project Coordinator reports to the Project Manager and is responsible for managing documentation across all job folders. Each project requires precise organization and consistent use of templates. The Project Coordinator plays a critical role in the financial and operational success of projects by ensuring timely and accurate documentation—especially during project closeout.

Responsibilities:

• Support the Project Manager and field teams throughout all project phases
• Manage document control and organization across all job folders, following established templates
• Own the closeout process, ensuring all required documents are collected, organized, and submitted
• Assist with accurate daily project reporting to the owner or owner’s representative
• Oversee job setup tasks and supplier coordination during pre-construction
• Attend on-site meetings and support the execution of demobilization plans
• Help complete punch list items and finalize all project-specific documentation (e.g., asset tagging, refrigeration documentation, Certificate of Occupancy)

Requirements:

• Strong understanding of the contract process, contractor buyout, and project setup timelines
• Detail-oriented with excellent follow-up skills to ensure no documentation is missed
• Comfortable interacting with contractors and suppliers and tracking down answers as needed
• Advanced computer skills, especially with electronic file systems and project management platforms
• Proven ability to manage and complete the closeout process, overcoming common field-related challenges

Preferred Skills:

• Working knowledge of contract management phases and deliverables
• Effective communicator with project teams and field staff regarding inspection requirements
• Organized, proactive, and able to drive teams toward continuous improvement
• Strong time management and documentation skills to support timely project closeouts
